How to use the PI tool?

What is the PI Tool? The PI Tool (Proforma Invoice Tool) is a custom-built feature on Rosarybase.com designed for buyers and sourcing professionals. Simply select your products, set the currency and markup, and generate a professional PI document in one click — streamlining your entire procurement workflow.

1. Where Can I Access the PI Tool?

The PI Tool can be accessed from two entry points:

🧭 Option 1: Navigation Bar
Find the "PI Tool" entry in the top navigation bar of the website and click to enter.
🔗 Option 2: Direct Link
Enter the following URL in your browser's address bar to access directly:

Please Note: The PI Tool is not available to guest users. You will be prompted to log in upon entry. If you haven't registered yet, please complete the registration first. Once registered and logged in, you can start using the tool right away.

2. Pricing & Currency Settings

2.1 What If I Don't Want to Use CNY Prices?

Product prices are displayed in Chinese Yuan (CNY) by default. If you need to use a different currency (such as USD), simply follow these steps:

Step 1: Locate the "Target Currency" option on the PI Tool page;
Step 2: Select "USD" from the target currency dropdown menu;
Step 3: Enter the current CNY-to-USD exchange rate (e.g., 7.25) in the "Exchange Rate" field. The system will automatically convert all product prices to USD.
Quick Tip: If you don't set a currency or exchange rate, the system will default to Chinese Yuan (CNY) prices. If you need to customize prices, you can manually edit each product's price in the edit bar below, giving you full flexibility over your quoted amounts.

3. How Do I Add My Profit Margin?

The PI Tool supports a custom markup formula, allowing you to embed your profit directly into the product prices. When the PI is generated, the system automatically calculates the new price based on your formula — the resulting price already includes your profit.

3.1 Markup Methods

📈 Method 1: Percentage Markup
Enter a profit percentage in the markup formula, such as 10%. The system adds 10% to the original price as your profit. New price = Original price × (1 + 10%).
✖️ Method 2: Multiplier Markup
Enter a multiplier in the markup formula, such as ×2. The system multiplies the original price by 2. New price = Original price × 2, and the difference is your profit.
Example: A product's supply price is ¥100 CNY. You set the markup to 10% in the formula. The PI will display ¥110 (¥100 + ¥10 profit). If you also select USD with an exchange rate of 7.25, it will show approximately $15.17.

4. Is Customer Information Required?

Customer information is optional — you can leave it blank or fill it in as needed.

Leave blank: You can generate the PI document without filling in any customer information. Simply download the file and send it to your customer yourself.
Fill in email: If you enter an email address, the system will automatically send the generated PI file to that email. The PI document will be attached directly to the email.
Important: We do NOT recommend entering your customer's email directly! The generated PI file contains the RosaryBase website logo, so sending it directly to your customer may expose your supply source. We recommend entering your own email address instead — once you receive the PI file, you can edit it to remove the website branding, then forward it to your customer. Additionally, you can select the PI table portion and copy and paste it directly into your Excel (XLS) file for further editing.

5. Quick Start Guide

Log In / Register: Access the PI Tool via the navigation bar or direct link. New users register first; returning users simply log in.
Select Products: Browse or search for the products you wish to procure and add them to your PI list.
Set Currency: Default is CNY. To use USD, select USD as the target currency and enter the exchange rate.
Set Profit Margin: Enter your profit percentage (e.g., 10%) or multiplier (e.g., ×2) in the markup formula. The system automatically calculates the price including your profit.
Fill in Customer Info (Optional): Enter customer name, address, and other details. If you fill in an email, we recommend using your own email — the system will send the PI to that address. Once received, you can edit out the website branding before forwarding to your customer, or copy the table into Excel for further editing.
Generate PI: Click the generate button. The system calculates all prices and produces the PI document, which you can download or have automatically sent to your customer's email.

6. Are Generated PI Files Saved Permanently?

Due to limited server resources, we only retain PI files for 7 days. After 7 days, the system automatically deletes all generated PI files, and they will no longer be available for download.

Save Promptly: We recommend downloading your PI immediately after generation and saving it locally by printing to PDF. How to do this: Open the generated PI file → Click "Print" in your browser → Select "Save as PDF" → Save to your local folder. This ensures your PI files remain accessible long-term, regardless of the server retention period.
